How to change your signature in Outlook for Desktop
You will need to create your signature once if you want your signature to appear at the bottom of all your emails. This will allow Outlook to automatically add your signature to every email that you send

- Open the desktop Outlook app and choose File from the menu.
- Choose Options.
- Select Mail from your navigation pane in the Outlook Options window.

- You can choose whether your signature will be used when you reply to, forward, or both under the Choose default signature section.

Change the signature in email messages
You’ll see your default signature displayed at the bottom when you create an email.
You can change the signature in an email at any time by selecting Message, selecting Signing from Include, and then selecting the dropdown menu for your preferred signature.
You can change the signature at the bottom and top of your email automatically. While you are editing an email, you can modify the signature at any time.
How to Edit Outlook Signature
Editing signatures already in Outlook is the same as creating new ones.
This can be done in two ways.
- Edit an email by selecting Messages in the menu. Next, select Signature in the Include section. Select Signatures from this dropdown.
- The same steps can be used to access the Signatures window. You can access the Signatures window in any way you like. Simply select the signature that you wish to edit from the Select signature pane. The editor pane is located at the bottom and you can edit the signature.
- Once you are done editing, click OK and save your changes to your signature.
How to change your signature in Outlook for Mobile
The Outlook Mobile app allows you to create or edit your email signature, but it is less flexible than the desktop app.

This procedure works either for Outlook on Android, or Outlook on iOS. When it comes to editing or adding an email signature, the app works on both Android and iOS.
- Open Outlook and tap the menu symbol at the upper left corner. The Settings menu will be opened by tapping the gear icon.
- Scroll down to the Mail section in the Settings menu and tap Signature.
- You can use the on-screen keyboard to create a basic signature in the Signature window.
The signature is text-based and does not include any font styling or image capabilities.
- To save your signature, tap Done in the upper right corner. The signature will now appear at the bottom every time you open an email message.
- You can create a unique signature for each email account if you have multiple accounts. The account that you are using will determine which signature is displayed.
